An online registration and management service for travel industry presentations and events
Logimonde inc. has launched an automated registration and attendance management service for industry events: DoingAnEvent.com. It will allow suppliers and travel agents organizing product launch tours, training sessions or other events to consult their registration list at any time and record event attendance on a laptop or mobile tablet during the event itself. Travel agents (or clients) wishing to attend an event can simply click the link on the invitation to register.
The system will also allow users to send messages and reminders to registered event participants and, afterwards, consult an absentee list, survey participant satisfaction, gather comments and thank attendees for their participation.
The system can also generate a series of reports such as a registration statement (and paid inscription fees if necessary), total participant numbers in relation to the event’s targeted numbers and a statement breaking down the cost of using the system. These reports can also be forwarded to partners associated with the event.
“From brochure launches to training sessions as well as destination and product presentations, travel industry professionals are organizing hundreds of events every year, perhaps even thousands across Canada,” said Uguette Chiasson, president, Logimonde. “We saw that there was a need for this kind of product, which prompted us to design the right tool. We created a team that included a programmer, a web designer, a network specialist and an event consultant and these people have spent a year and a half developing the necessary software.
“This represented an investment of more than $150,000 for Quick Communications Inc., sister-company to Logimonde inc. which holds copyright for the system. We believe that this is an essential service that will be used by the majority of suppliers and agencies,” Chiasson said.
DoingAnEvent.com currently has one client, though that client - Transat Holidays - is a significant one. Transat Holidays will use the service to launch multiple events and training sessions in cities across Canada for the coming winter season.
Logimonde inc. is currently in talks with a dozen companies interested in using DoingAnEvent.com to manage their event schedules this fall. Chiasson said she is confident that the goal of 200,000 entries in the first year will be realized as the service is also available in French as www.TousMesEvenements.com.
The cost for using DoingAnEvent.com is as follows: an annual user fee of $250 and subscription fees of $200 per event for events with 200 people or less or $1 per person for events with 201-plus people. Absentees will not be counted.
“Overall, this new tool will save users money since registrations will no longer be compiled and managed by company employees - the system will automatically generate registration lists and it can also send reminders, thank you notes, messages, satisfaction surveys, etc.” explained Chiasson.
Currently, use of the system is restricted to the travel industry. “However, next winter we plan on offering the service to companies in other fields,” Chiasson said.
